FleetCollect, a compliance platform for small to mid-size trucking fleets, has introduced automatic SMS reminders that notify drivers directly when their qualification documents are approaching expiration. The feature addresses a common compliance challenge: the renewal that goes unnoticed until an auditor discovers the gap.
Under FMCSA regulation 49 CFR §391.51, carriers must maintain a Driver Qualification File (DQF) for each driver, containing 18 documents across pre-employment records, annual reviews, and ongoing testing. DOT auditors often examine these files first and frequently find them incomplete due to lapsed medical cards, missed MVR reviews, or unrenewed CDLs.
FleetCollect tracks all 18 items on a single dashboard and integrates with Checkr for MVRs and background checks. The new SMS reminders automatically text drivers at 30, 14, 7, and 1 day before a document expires, and again if it lapses, with a secure link to upload a renewal from their phone. The system ensures compliance without requiring office staff to chase paperwork.
"The medical card nobody remembered is the thing that fails your audit," said Herman, FleetCollect founder and former CDL holder. "The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to."
The reminders are included on every plan at no additional cost, with carrier-attested driver consent and an opt-out option. FleetCollect is designed for carriers overlooked by enterprise platforms, from owner-operators to mid-size fleets, and works alongside existing ELD systems like Samsara and Motive.
"We passed our FMCSA audit with zero deficiencies thanks to FleetCollect," said Sarah Chen, Fleet Manager at Mountain Transport. The platform offers a 7-day free trial. For more information, visit https://fleetcollect.net.
